Freelance Hourly Rate: A Billable-Time Sensitivity Worksheet
Your planning floor and a client’s willingness to pay are different numbers. Build a cost-based floor first, then test scope, demand and risk. This guide uses one consistent annual example that you can reproduce in our rate calculator.
On this page
Enter annual figures consistently
Illustrative inputs: take-home income target $24,000; annual business costs $7,200; simplified reserve 20%; 48 working weeks; 40 hours per week; 50% billable time. Keep savings or contingency inside the planning inputs you choose and document them. Do not add the same savings allocation twice.
Reproduce the calculation
Required revenue = (24,000 + 7,200) ÷ (1 − 0.20) = $39,000. Working time = 48 × 40 = 1,920 hours. Billable time = 1,920 × 50% = 960 hours. Planning floor = $39,000 ÷ 960 = $40.625/hour, displayed as $40.63. The reserve is a percentage of modeled revenue, not a jurisdiction-specific tax computation.
Stress-test the billable share
With the same $39,000 revenue goal, 40% billable time gives 768 hours and $50.78/hour; 50% gives 960 hours and $40.63; 60% gives 1,152 hours and $33.85. These are scenarios, not claims about typical freelancers. Track your own delivery, sales, administration and learning hours for several weeks before selecting an assumption.
Convert a floor into a project estimate
For a 20-hour scope, $40.625 × 20 = $812.50 before extra contingency and platform deductions. If the service fee alone is 20%, retaining $812.50 requires $1,015.625, rounded upward to $1,015.63. Do not simply add 20%: that gives $975 and only $780 after the deduction. Keep this fee adjustment separate from the simplified reserve already used.
Choose a billing model by uncertainty
Use a fixed quote when deliverables and acceptance are specific enough to estimate. For uncertain troubleshooting, discuss a capped discovery stage or agreed hourly budget and reporting interval. A higher rate does not guarantee demand, and an estimated revenue outcome does not establish what a client must pay. Review actual hours and collections after each project.
Frequently asked questions
Is this my actual tax rate?
No. The reserve is a simplified planning input. Obtain the correct treatment from your local authority or adviser.
What billable percentage should I use?
Use your records and test several scenarios. Do not assume every working hour can be invoiced.
Does the rate calculator include platform fees?
No. Adjust the quote separately using the actual contract fee, and avoid double-counting costs already included.
Turn the estimate into a weekly capacity check
Using the worksheet above, 48 weeks × 40 hours × 50% billable time gives 960 annual billable hours. That is 20 billable hours in an average working week. A 30-hour project therefore consumes one and a half weeks of billable capacity even when your calendar contains 40 working hours per week. Sales, administration and learning still need their share of the calendar.
At the unrounded $40.625 planning rate, a 30-hour project needs $1,218.75 of revenue before any separately excluded platform or payout fees. At a rounded $41 rate, the same estimate is $1,230. A $1,500 quote leaves $270 above that rounded planning amount, but it is not guaranteed profit: extra revisions, purchased assets or collection costs can use it up.
Run a downside scenario before committing. If the $1,500 project takes 40 hours, the gross effective rate is $37.50. If an illustrative 10% platform deduction applies, $1,350 ÷ 40 = $33.75 before the other costs. Compare that result with the planning rate and adjust the scope, price or estimate. Do not count the same fee twice if you already included it in your annual expense model.
Review the model after delivery
Record estimated hours, actual delivery hours, unpaid administration time, cash collected and separately paid expenses. Review several projects rather than treating one unusually easy or difficult job as your normal capacity. Update the billable share when measured time consistently differs from the assumption. Keep an unpaid invoice separate from cash received; your pricing model and your cash runway answer different questions.
