The first useful hiring document is a clear brief, not a request for the lowest price. Define the work, compare relevant evidence and agree a bounded first engagement. This guide concerns purchasing freelance services, with legal classification and contract terms to verify locally.

Prepare a one-page service brief

Include: desired deliverables, existing materials, essential functions, exclusions, budget assumptions, target dates, one approver and acceptance checks. For a contact-form project specify required fields, expected confirmation behavior and who configures delivery. “Make it professional” is not an acceptance test. Keep the same brief for all quotes.

Evaluate relevant evidence

Ask the supplier to explain a similar artifact, their exact contribution, a difficult decision and how they checked the result. A concept portfolio can be useful if honestly labeled. With permission, ask references about scope, communication and handover. Do not treat a low price, nationality or an unsupported claim of experience as proof of capability or risk.

Design a bounded paid trial

Illustrative trial: a $150 paid prototype of one form using fictional data, a short explanation of decisions and an agreed review date. Assess the agreed function, clarity of handover and communication against criteria sent in advance. Do not ask several candidates for unpaid production-ready work or use a trial to obtain live customer data unnecessarily.

Negotiate payment and access

A deposit, staged payments or another structure can be agreed to match risk and delivery. There is no universal mandatory 50% deposit. Record milestone triggers and due dates. Grant the minimum project access needed through individual accounts where possible; avoid sharing your main password, and remove access when work ends. Confirm subcontractor access and confidentiality.

Accept the work against a list

For the form example, check required fields, invalid input, a successful test submission, destination delivery and a failure state. Use fictional data and a controlled inbox you own. Obtain source files, deployment notes, licence details and the agreed support boundary. A screenshot of a success message alone does not prove email delivery.
